Privacy

This describes how IntakeOwl handles the information submitted through an intake page. It is written to be read, not to hide behind length.

What we collect

When someone submits a request, we collect the answers to that niche's questions, any photos they attach, and the contact details they enter. We also keep basic technical data (such as a hashed indicator of the source network) to prevent abuse.

How it's used and shared

A request is delivered to the business it was submitted to, so that business can respond. We do not sell, rent, or share request data with other businesses or third parties for their own purposes. We use a hosting provider, an email provider, and file storage to run the service; they process data only to deliver it.

Payments

If you start a paid pilot, payment is handled by our processor, Polar (Polar Software, Inc.), which acts as the merchant of record. Your card details are entered on Polar's checkout and are processed under its own privacy policy — we never receive or store your card number. We receive confirmation that a payment succeeded or was cancelled, along with the account email and billing basics needed to run your subscription. This is separate from the request data collected through an intake page.

The “preview on your site” tool

If you use the demo to preview the widget on your own website, the address you enter is sent to a third-party screenshot service to render a picture of that page. We send only the URL — no request or contact details — and the image is used solely to show you the preview. If the screenshot isn't available, you still see a stylized preview built from your site's name and colors.

To suggest a matching question set, our server also reads that page's public title and description to guess your line of work. That reading happens on our server for the moment of the preview only — we do not store the page's content, and only the guessed niche name (never the page text) is shown back to you. You can always pick a different niche.

Emailing yourself a brief

If you ask us to email you the brief you just saw, we collect the email address you enter, the niche you were viewing, and — only if you previewed your own site — that site's name and brand color, so the email can show the widget on your site. We use these to send you that one brief. No account is created. The optional “setup tips and product news” box is unchecked by default; we email you those updates only if you check it, and you can opt out anytime by replying or writing us. Ask us and we delete your email and the saved details.

How long we keep it

Real requests are retained for the receiving business to work from. Requests submitted through the live demo are flagged as tests, emailed to no one, and deleted automatically within about two days.

Your choices

You can ask us to access or delete the information you submitted. Email hello@intakeowl.com and we will remove the record and its files.
