- What is IntakeOwl?
- It's intake software for a service business. IntakeOwl hosts one request page for you, asks the questions your trade actually needs to size up a job, takes a photo of the problem, and emails you a structured, ready-to-read brief. You respond however you already do — it takes the request, it doesn't answer for you.
- How is this different from a chat widget or an AI form?
- A chat bubble grabs a name and an email; a general AI form talks back but stays horizontal across every industry. IntakeOwl is built around one trade's triage questions, with a photo as the deciding field, and it delivers a one-page brief by email under your own name. - Is IntakeOwl a chatbot or a voice assistant?
- No, and that's on purpose. We don't build conversational AI, voice bots, or calls to your customers. Customers answer a short set of clear questions — the ones a good dispatcher would ask — and can dictate the free-text answers by voice if they prefer. What you receive is a structured brief, not a transcript of a chat.
- Do I need to add code to my website?
- No. You get a hosted link and a QR code. Put the link in your site menu, Google Business Profile, or email signature, and print the QR for invoices, signs, and truck decals. Nothing gets installed on your site.
- Can my customers use it from a phone?
- Yes. The intake page is built for a phone first — a customer can point their camera at your QR code, answer the questions, snap a photo of the problem, and submit, all from where they're standing.
- Which trades does it support?
- IntakeOwl ships with ready-made question sets — the commercial anchor (doors and loading docks, refrigeration and HVAC, roofing), home exterior and repair (foundation, gutters, fencing, painting, pressure washing, tree service, residential garage doors), everyday trades (handyman, landscaping, house cleaning, junk removal), and booking niches (grooming, real estate, catering, and more). - Will it work with my CRM?
- The brief arrives as a plain email, so it works with any inbox or CRM that can take email — forward it, filter it, or let your CRM's email-to-record feature pick it up. There's no CRM to wire up and nothing to learn. Native connectors like Zapier aren't in this version; they're on the roadmap and we won't pretend otherwise.
- Who writes the questions for my trade?
- We do. Each niche gets a question set built around what that trade needs to know before anyone drives out. You can tell us what to adjust — you don't assemble the form yourself.
- What if I need to change a question later?
- Small text edits you make yourself in your panel — reword a question, change your announcement, adjust branding, pause the form, or run a promo — without waiting on us. More involved changes, like adding a new branch, we make for you. This is about editing your form; it has nothing to do with how fast you answer your own customers, which is always up to you.
- What happens to the request data — is it private?
- A request goes to the business it was submitted to, and nowhere else. We don't sell or share request data, and voice dictation audio never leaves the customer's device — only the typed text is submitted. - Is IntakeOwl really brand new? Who's behind it?
- Yes — it launched in 2026 and is run by its founder. Because it's new, we don't show customer logos or invented review counts. Instead, the live demo is the proof: the same engine already runs a working commercial door-and-dock intake, and you can try the real thing yourself in seconds.
- How do I try it?
